As a Scheduling and Administration Coordinator reporting to the Property Operations Manager, you will be responsible for scheduling all Planned Preventative Maintenance (PMs) and Planned Corrective Maintenance (CMs) across the Property Operations team.

This role also covers end-to-end administration and coordination of systems and internal processes, including rosters, inventory, communications, procurement, and invoicing, to ensure all maintenance activities are delivered effectively, aligned to priority, asset criticality, and operational plans.

A few of your responsibilities

  • Coordinate purchase orders and inventory procurement for scheduled works
  • Process invoices accurately and on time
  • Close out scheduled work orders in Maximo in a timely manner
  • Manage Maximo backlog ageing reports
  • Collaborate with management on team rosters and work schedules
  • Work with Engineering Systems & Planning to ensure asset life plans are delivered to schedule
  • Coordinate maintenance activities across departments to align with operations
  • Manage creation, review, and administration of work orders in Maximo to ensure accurate daily scheduling

What are we looking for

  • Previous scheduling experience in maintenance or similar environment
  • Certificate III in Business Administration or related discipline
  • Strong coordination and organisational skills
  • Proven ability in accurate and timely reporting
  • Understanding of hotel and hospitality operations
